1. Introduction

Aliso Digital Design Studio, a business registered in Australia under the legal entity Aliso Creative Co Pty Ltd, trading as Aliso Digital Design Studio (referred to as “we,” “our,” or “us”), is committed to protecting the privacy of our clients. This policy outlines how we collect, use, store, and protect your personal information.

2. Data Collection

We collect limited personal information, including:

  • Business address (when required for contracts or statements of work)

We collect this information when you contact us by email or phone, use the contact form on this website, book a call, or engage us.

We do not collect or use health or other sensitive information about individuals. Our work for clients, such as user testing, screenshots and process mapping, can occasionally expose us to such information by chance. When that happens, we use it only to do that work, we do not use it for anything else, and we do not knowingly enter it into AI tools.

We do not use analytics, advertising or other tracking tools to collect information about visitors to this website.

3. How We Use Your Data

Personal data is used solely for:

  • Creating statements of work and contracts
  • Processing payments
  • Conducting customer support and communication

We do not use your data for profiling, analytics, or automated decision-making. We do not send marketing communications.

4. Data Sharing & Disclosure

We only share data when necessary for:

  • Payment processing via secure third-party platforms
  • Subcontracted project-related services (e.g., technical writing, process mapping, graphic design)

Subcontractor Access: Subcontractors may access:

  • Client names and project team members’ names
  • Recorded sessions
  • Existing documentation

All subcontractors are required to:

  • Sign Non-Disclosure Agreements (NDAs)
  • Use our Office 365 platform with enforced multi-factor authentication (MFA)
  • Follow our cybersecurity best practices

Some of our subcontractors, and some of the cloud and AI services we use, may be located in or store data in countries outside Australia. Anyone who can access personal information is bound by an NDA and our security requirements.

We do not share personal information with unrelated third parties unless legally required.

5. Use of AI Tools

To do our work efficiently, we use a small set of selected AI tools: Microsoft 365 and Copilot, Claude (Anthropic) and ChatGPT (OpenAI). Client information, including information in client documents, may be processed by these tools as part of the work. We use these tools only to do client work, and we do not use other AI tools.

We do not use AI tools to make decisions about people.

If you do not want AI tools used on your information, it is your responsibility to tell us before the work starts. If you tell us verbally, we will confirm it in writing, and it applies from when we confirm it in writing.

6. Data Storage & Security

Your data is stored securely via:

  • Approved cloud platforms only, or Aliso-issued laptops
  • Password protection and multi-factor authentication on all systems

Data Retention: We keep personal information only for as long as we need it for the work, or for legal and tax record-keeping. After that, we securely delete it. You can ask us to delete your information earlier, and we will, unless the law requires us to keep it.

You may contact the Managing Director at any time to access, correct, or request the deletion of your data.

7. Handling Data Breaches

We take data breaches seriously. In the event of a breach:

  • Affected clients will be notified promptly, with details of what information was affected.
  • Relevant authorities will be informed where required.
  • We will act quickly to contain the breach and reduce any harm.

8. Cookies & Tracking Technologies

Our website uses only essential cookies and browser storage, for speed, security and basic function. We do not use advertising or tracking cookies, and we do not use analytics tools.

  • Billing and payment processing
  • Cloud-based documentation and project management
  • AI tools used to do the work (see “Use of AI Tools” above)

Subcontractors working on client projects will have controlled access to necessary information and are bound by strict NDA agreements and cybersecurity protocols.

10. Legal Compliance

We handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth), and with any privacy requirements in our client contracts. We do not provide services to minors.
